This Privacy Notice explains how we handle personal information when you visit NeemKaroliBaba.org, create a directory profile, contact other members, submit a gathering or other listing, or communicate with us.

Our directory is intended for adults who wish to connect with others interested in the Neem Karoli Baba satsang. Participation is voluntary. Please read this Notice before deciding what to share, particularly information about your spiritual life, travel, home, or interest in personal connections. Our Terms of Use govern your use of the directory and refer to this Notice.

1. Information we collect

Information you provide to create and manage an account. This may include your name or display name, email address, login credentials, approximate location, and information you provide when contacting us.

Information you choose to put in a profile or listing. Depending on the fields available, this may include a photograph, biography, spiritual interests, ashrams or places you have visited or hope to visit, gathering details, hospitality preferences, and whether you are open to friendship or intimate connections. You may also provide information in messages, reports, or other content submitted through the platform.

Information about use of the website. Our systems and service providers may collect technical information needed to operate and secure the site, such as IP address, browser and device information, pages visited, approximate location inferred from an IP address, and dates and times of activity. The site does not use analytics tools, advertising tools, or tracking cookies. A signed-in visitor’s country, inferred from the network connection, may be used to show nearby gatherings first; no permission prompt or profile information is needed for this.

Reports and administrative records. If you report a listing or another member, we collect the information you submit, information needed to review the report, and records of actions we take. A report may include information about other people.

Uploaded images. When you contribute a photo to the archive, we collect the image, the caption and details you provide (who is pictured, place, year), and provenance information: the photographer or creator, the source, and your stated legal basis for sharing it. Published photos are shown publicly with your first name as the contributor. Location and camera metadata embedded in the file are removed before the photo is displayed. Photos reported for copyright, privacy, or other concerns may be hidden while our team reviews them.

Please do not submit sensitive information about someone else without their permission.

2. Sensitive information and your choices

A profile connected to a spiritual lineage may reveal religious or philosophical beliefs. A field about intimate connections, and anything you choose to write about relationships or sexuality, may reveal other sensitive information. We treat these choices with particular care.

Providing this information is optional. Where required by applicable law, we will ask for your separate, explicit consent before processing or displaying sensitive profile information. We will identify the fields involved and who can see them when you make that choice. You may withdraw consent and remove or hide the relevant information through the “Edit your profile” form on the Community page, or by writing to ramram@neemkarolibaba.org. Withdrawal does not undo processing that was lawful before you withdrew consent.

By default, member profiles — including the fields described in this section — are visible only to other signed-in members, never to the general public. Your phone number, if you provide one for message alerts, is never shown to other members. Answers about openness to intimate or business connections are stored separately and are shown or used in search only when both members have answered yes. Optional details such as pronouns, gender, and orientation appear only in the places described when you choose them. Do not put sensitive information in a general biography if you do not want it shown to the audience described above.

3. How we use information

We use personal information to:

• Create accounts, display profiles and listings according to their visibility settings, and make the directory work.

• Enable members to find and contact one another where the platform offers those features.

• Review listings, respond to reports, enforce our Terms, and address fraud, abuse, security concerns, or unlawful conduct.

• Respond to questions and privacy requests.

• Maintain, troubleshoot, and improve the website.

• Send essential account, security, policy, and service messages, and — if you ask us to — invitation emails to the friends you name, using their name and email for that invitation only.

• Comply with legal obligations and protect the rights and safety of people who use the directory.

We do not send newsletters or promotional email. If that ever changes, we will describe it here and, where required, ask before adding anyone.

Where the GDPR applies, our legal grounds may include providing the service you request, our legitimate interests in operating and securing the directory, compliance with legal obligations, and your consent for processing that requires it. We rely on explicit consent for sensitive profile information where required. We will explain any additional legal ground if a particular feature requires one.

4. Who can see information you share

What other people can see depends on the feature and the visibility choices offered to you:

• Directory listings, gatherings, shared resources, archive photos, and Helping Hands posts are visible to the public. Helping Hands posts show first names only.

• Member profiles, including interests, places, and online communities, are visible only to other signed-in members. Visitors are told the circle is for members.

• Private messages are visible only to the sender and the recipient. Administrators may view a message when reviewing a report about it.

• Phone numbers are used only for the message alerts you choose, and are never shown to other members.

• Reports you submit are visible to our administrators.

Other people may copy, save, screenshot, or share information they can see. We cannot control what another person does with information after they have received it. Removing information from your profile may not remove copies held by others or material indexed or cached elsewhere.

Do not publish your precise home address, private contact details, or travel itinerary in a publicly visible field. If the platform permits members to exchange such details privately, decide carefully when and with whom to share them.

5. When we disclose information

We may disclose information:

• To other users, according to the profile, listing, messaging, and visibility features you choose.

• To service providers that help us host the website, store data, deliver email, maintain security, provide support, or perform other functions on our behalf. This includes website hosting and data storage providers and the AI service that translates posts, messages, and the site interface. We do not sell personal information or share it for advertising.

• To administrators and people assisting with moderation, to the extent needed to operate the directory and respond to reports.

• When legally required or appropriate to protect people and the service, such as responding to lawful process, investigating suspected fraud or abuse, or addressing a credible safety concern.

• In connection with an organizational change, such as a merger or transfer of the directory, subject to applicable law and appropriate notice.

6. Cookies and similar technologies

The website uses only cookies and similar technologies needed for login, security, and basic operation: a login session cookie, and a cookie that remembers the language you picked. It does not use analytics, advertising, or social media tracking technologies, so there is no optional-cookie choice to manage.

7. International users and transfers

The directory is available to people in different countries. Information submitted to it may be accessed by other users internationally according to its visibility settings. We and our service providers may process information in the United States and other countries where our service providers operate.

Where applicable law requires safeguards for an international transfer, we use an appropriate legal mechanism, such as standard contractual clauses, and make information about it available on request.

Once you choose to share information with another member, that person may be located in a different country and may be subject to different privacy laws. Be thoughtful about what you disclose.

8. How long we keep information

We keep account and profile information while your account is active, unless you remove it sooner. After account closure, we may retain limited information for a period needed for security, legal compliance, resolving disputes, enforcing our Terms, or maintaining backups.

Reports, messages reviewed in response to a report, and records of moderation actions are kept as long as needed to keep members safe, respond to future concerns, and meet legal obligations. Backups are kept for a limited period and then overwritten. We delete or deidentify information when it is no longer needed, subject to applicable legal requirements and the limits concerning copies held by other users. Past gatherings may remain stored after they are no longer shown as upcoming.

9. Your privacy rights and controls

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of your personal information; to object to or restrict certain processing; and to withdraw consent. You may also have the right to complain to a privacy regulator.

You can change or remove most of your information yourself: edit your profile, tags, places, and photos through the “Edit your profile” form; hide the gatherings you are attending; report or block any member; change your message alert settings; and delete your account yourself under “Delete your account” in the profile editor. You may send a privacy request to ramram@neemkarolibaba.org to do anything else. We may need to verify your identity before acting on a request. We will respond as required by applicable law and explain if an exception applies.

If you withdraw consent for a sensitive field, we will stop using it for the consent-based purpose and remove or hide it as appropriate, subject to lawful retention and technical limits explained in this Notice.

10. Security

We protect information with HTTPS encryption while it travels to and from the site, access limited to the administrators who need it, and sign-in credentials handled by our authentication provider rather than stored by the site itself. No website or method of storage is completely secure. You are responsible for protecting your login credentials and for considering what you disclose to other members.

If you believe your account or information has been compromised, contact ramram@neemkarolibaba.org promptly.

11. Adults only

The directory is intended for people 18 years of age or older. We do not knowingly offer accounts to minors. If you believe a minor has created an account or submitted personal information, contact ramram@neemkarolibaba.org so we can review and take appropriate action.

12. Other websites and member activities

Profiles and listings may link to websites, gatherings, ashrams, or services run by others. Their privacy practices are their own. This Notice does not govern what another member does with information you share directly with them, including during travel, hosting, business dealings, or personal relationships.

13. Changes to this Notice

We may update this Notice as the directory develops or legal requirements change. We will post the updated version with a new effective date and provide additional notice when required by law. If a change requires new consent, we will request it before applying the change to information that requires that consent.
